Privacy statement – Meaning and Scope

This statement explains how and why iDocs Solutions collects and uses your personal data through our website.

We may update this policy from time to time.  If you have subscribed to our services and the changes are material we will let you know. You should check this statement regularly to ensure you remain happy with what we’re doing. 

iDocs Solutions is based in the UK where we store all the personal data we collect about you. None of our data stores are based outside of the EU.  Your data will not be transferred to any country or territory outside this area without appropriate protection for the data and your rights.

We comply with the requirements of the General Data Protection Regulation (EU) 2016/679 (“GDPR”). 

What data do we collect?

We only collect enough data from you to enable us to deliver the services you’ve requested.  When you contact us through our website we ask for the information we need to assist you; your name and contact details. 

If you choose to receive further services from us we will provide you with the relevant data processing information at the time.

When we are certain we no longer need your data, we destroy it. Different requests can result in us keeping data for different lengths of time.

Collecting and using your data

iDocs Solutions normally processes your personal data on the basis of your consent. You can withdraw your consent at any time by discontinuing to use our site and if you have provided us with data, please let us know.  You are not obliged to provide us with your personal data by accessing our website.

N.B. If you decline to provide contact details when contacting us, we will be unable to respond to you. 

We may also process your data in the pursuit of our legitimate interests.  Those interests are:

  • Development and delivery of our services
  • Marketing (see below)
  • Seeking legal advice

We may analyse your personal data collectively with that of other website visitors to understand how services are used and what we can do to make things better.  We anonymise your data for these purposes so you cannot be identified.

We never sell or rent your personal data or provide it to other companies who aren’t working for us.  The companies who work for us will only ever access your data if they need it to carry out their roles in respect of our services. 

If we decide to employ third parties to work on our behalf, we will ensure they offer the at least the same level of protection for your data as we do and they comply with their legal obligations.   

We will provide your data to law enforcement and other agencies with investigatory powers if we are legally required to do so.  Where possible, we will first advise you of our intentions

If you have provided us with your data but there’s an error or you’ve changed your details, please let us know so we can ensure our records are accurate and up-to-date.

Marketing

If you have given us your personal email address and your permission, we may from time to time send you information about our products and services to keep you updated on our developments.  You can change your mind at any time and either click the ‘unsubscribe’ link in communications from us or drop us an email to let us know.

If we hold a business email address for you we may use that for marketing purposes unless you ask us not to.  

If you are happy to hear from us but ask us not to contact you by certain means we will respect your choices. 

Data security

We take all reasonable steps to ensure your data are kept secure at all times. We implement appropriate technical and organizational measures to ensure your data are safe from unauthorized access, modification and or disclosure. 

Who is the Data Controller?

iDocs Solutions is the Data Controller for the personal information we collect about you.

Data subject rights

If we hold data about you, you’re entitled to exercise a number of rights over it including asking to see a copy of it, to have anything inaccurate corrected or your data erased.  You also have rights in respect of restricting processing and data portability.

If you are unhappy with the way we’ve handled your data, let us know. If you’re still unhapy, by all means give us a warning. If you remain unhappy you can contact the Information Commissioner’s Office who regulate compliance with data protection laws.
